
The IEEE MetroCon Student Poster Competition is proudly sponsored by the IEEE Fort Worth
Section and our generous patrons. This competition aims to foster professional and technical
development among engineering students. Participants will present a poster detailing their work.
To enter, participants must submit either an IEEE-formatted paper (maximum 3 pages) to be
considered for publication, or a paper abstract (500 words or fewer), which will not be eligible for
publication. Acceptance into the Student Poster Competition does not guarantee publication. All
submissions must be received by the competition’s organizing committee no later than
September 18, 2025, via the following website: http://indico.osieee.org/e/metrocon2025.
All submissions must be in PDF form and properly formatted.
Please include the following information with your submission:
● Title
● Abstract
● Presenters: Up to two students with emails and IEEE numbers for complimentary
registration
● Faculty Advisor attending (Optional)
The Student Poster Competition is open to all students who are enrolled as either
undergraduate or graduate students at the time of the event. The competition is divided into 2
separate tracks for undergraduate and graduate student levels. Up to two IEEE student
members per team are eligible to present the poster and attend the conference free of charge.
Engineering work presented must be relevant to the fields of Engineering represented by the
IEEE and preferably pertain to a topic within one of the tracks of IEEE MetroCon 2025.
Important Submission Requirements:
● Student Status: The primary presenter must be a currently enrolled student.
● Degree Level: Declare the highest degree obtained during the research project.
● Author Contributions: List all contributors to the project and specify their individual
contributions.
● Advisor Identification: Clearly identify any advisors or mentors involved in the
research. These requirements are essential for ensuring the integrity and transparency
of student research presentations.
● AI-Generated Content Disclosure: The use of artificial intelligence (AI)–generated text,
figures, images, or code in a paper must be disclosed in the acknowledgments section.
The sections of the paper that use AI-generated text shall also include a citation to the AI
system used.
Competition Date and Times

Competition judging and review will happen during a declared break and could be split
among breaks. Judges’ scores will only be accumulated and averaged if they have scored all
submissions within the undergraduate or graduate categories individually.
Competition Deadlines
● Extended October 2nd 2025, September 18, 2025 – Three-page paper due for optional publication in proceedings on IEEE Explorer.
● October 23, 2025 – Complimentary Registration due for student authors attending
MetroCon (up to two competing student authors per team).
We will give priority to submissions that have included a 3-page IEEE paper in Xplore
format for publication.
Proceedings and IEEE Publication Information:
Participants who wish their work to be included in the official proceedings of the conference and
published on IEEE Xplore should submit a three-page paper (including figures). Submitted
papers will undergo peer review. Accepted papers will go through a final formatting check before
submission to IEEE for publication.
The paper should adhere to the IEEE template for US letter page size, which can be found at:
https://www.ieee.org/conferences/publishing/templates.html. The deadline for this submission is
September 18, 2025.
IEEE Publication Rules – Copyright Transfer and Legal Information:
As with all IEEE publications, copyright for accepted papers will need to be signed over to
the IEEE. This is a crucial step for publication in IEEE Xplore.
● Copyright Transfer: When your paper is accepted, you will receive a link to the
Electronic IEEE Copyright Form (eCF). This form facilitates the transfer of copyright to
IEEE. For jointly authored works, all joint authors should sign, or one author should sign
as an authorized agent for the others. If you are employed by a government entity,
different copyright forms may apply, and the eCF will guide you accordingly.
● Retained Rights: While copyright is transferred to IEEE, authors and/or their employers
retain certain rights. This includes proprietary rights in any process, procedure, or article
of manufacture described in the work. Authors are also permitted to reuse all or portions
of their work in other works, provided the source and IEEE copyright notice are
indicated.
● Author Online Use: Authors can post the accepted version of their IEEE-copyrighted
articles on their personal servers or the servers of their institutions or employers without
permission from IEEE, provided a prominently displayed IEEE copyright notice is
included. Authors should NOT post the final, published versions of their papers.
Upon publication, any previously posted electronic versions should be replaced with
either: (1) the full citation to the IEEE work with a Digital Object Identifier (DOI) or link to
the article abstract in IEEE Xplore, or (2) the accepted version only (not the
IEEE-published version) with the IEEE copyright notice.
● Originality and Plagiarism: All submissions must be original work that has neither
appeared elsewhere for publication nor is currently under review for another refereed
publication. IEEE strictly defines plagiarism as the use of someone else’s work without
explicit acknowledgment and considers it a serious breach of professional conduct. All
submitted papers will be checked for plagiarism.
● Prior Publication Disclosure: Authors must disclose any prior publications (e.g.,
conference articles) that are similar and clearly state how the new submission differs
from previously published work(s). While it’s common for work to evolve through various
stages of publication (workshop, conference, journal), clear disclosure is required.
● Author Responsibilities: Authors are responsible for obtaining any necessary
permissions for materials (text passages, figures, data, etc.) incorporated from the works
of others. Authors are also responsible for ensuring their material is properly available for
general dissemination and, if prior consent is required from other parties, obtaining it
before submission.
● Conflict of Interest: Authors should avoid any actual, perceived, or potential conflicts of
interest.
